The major duty of the Front Desk Coordinator is to operate the switchboard and greet clients at the front desk in the lobby of the Sagamore Office.
1. Switchboard - Receive, screen, and route all incoming phone calls. Coordinate phone service and equipment needs and problems with the Facilities Coordinator and/or the Chief Information Officer, and the appropriate phone service.
2. Scheduling - Maintain daily schedules for all Sagamore Office clinical staff and ensure that daily transaction forms are initiated from the master schedule. Responsible for greeting clients and collecting payments as they arrive for their appointments.
3. Payments and Information Verification - Responsible for verifying, and updating as necessary, address and payer information for each client at time of check-in and collecting any payment due on each client’s account. Payments are to be posted to the appropriate account on the Lavender & Wyatt Human Services software.
4. Coverage - Responsible for ensuring that the front desk is adequately covered at all times. Responsible for training back-up staff and scheduling back-up staff as necessary.
5. Crisis Calls - Must be able to assess crisis calls, both via the phone and on a walk-in basis, must refer to the "on-call" ACT clinician appropriately. In addition, the front desk must always know who is "on-call", and must relay that information to the answering service when necessary.
6. Opening & Closing - The Front Desk Coordinator is responsible for opening the Sagamore Office for business in the morning, and for ensuring that the entire building is closed properly in the evenings. This includes locking all outside entryways, turning off lights, and putting the switchboard on "call-forwarding" to the answering service.
7. Evening Reception - The Front Desk Coordinator is responsible for hiring and providing adequate supervision and training for the evening receptionist who must work independently.
A minimum of two years related experience required.
