Legal Department Administrator

As we expand our team, we are seeking a dedicated and detail-oriented Legal Department Administrator to support the Chief Legal Officer (CLO) in managing legal, compliance, human resources, and administrative functions. This role requires strong organizational skills, discretion, and a proactive approach to assisting in the day-to-day operations of the legal department.
Location and Work Schedule
This position is based in Dover, NH, and requires in-person attendance five days per week.
Primary Responsibilities and Duties
Administrative and Legal Support
- Assist the Chief Legal Officer with managing and organizing legal documents, contracts, and compliance records.
- Prepare, proofread, and edit legal correspondence and reports.
- Maintain and update corporate legal files, ensuring proper documentation and accessibility.
- Track and manage deadlines for legal filings, compliance requirements, and regulatory matters.
- Coordinate and schedule meetings, appointments, and travel for the CLO.
- Serve as the primary point of contact for internal and external communications related to the legal department.
Compliance and Human Resources Support
- Assist in monitoring compliance with federal, state, and local regulations affecting Q LLC.
- Support HR-related tasks, including maintaining confidential employee records and assisting in HR compliance matters.
- Help administer company policies and procedures, ensuring alignment with legal and regulatory requirements.
- Coordinate employee training sessions on legal, compliance, and HR-related matters.
- Assist in the preparation and tracking of employee agreements, policies, and other legal documents.
Coordination with Outside Counsel and Litigation Support
- Manage communications with outside legal counsel, ensuring timely responses and coordination.
- Organize litigation-related documents, filings, and case records.
- Assist in gathering and preparing materials for legal proceedings, audits, and regulatory inquiries.
- Monitor ongoing legal cases and provide updates to the CLO and executive leadership as needed.
Business and Strategic Support
- Provide administrative support for business negotiations, contract drafting, and policy development.
- Assist in maintaining business relationships with key stakeholders, vendors, and regulatory agencies.
- Help manage strategic communications, marketing efforts, and special business projects under the direction of the CLO.
- Coordinate special projects related to legal, compliance, and corporate governance matters.
Qualifications and Skills
- Associate's or Bachelor's degree in Business Administration, Legal Studies, or a related field preferred.
- 2+ years of experience in an administrative support role, preferably in a legal, compliance, or HR capacity.
- Strong attention to detail and ability to handle confidential information with discretion.
- Excellent organizational and multitasking skills to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management software.
- Familiarity with legal terminology, corporate compliance, and HR policies is a plus.
- Strong written and verbal communication skills to interact with internal and external stakeholders.
- Ability to work independently and collaboratively in a fast-paced environment.
Physical Requirements
- This position may require sitting for extended periods, working on a computer, and handling physical files and documents.
