Job Title: Visitor Services / Switchboard Operator
Location: Bureau of Hospitals – Western Massachusetts Hospital, 91 East Mountain Road, Westfield 01085
Duration: 03 Months contract position with the possibility to be extended
Pay Rate: $18/hr on W2
1. General Statement of Duties and Responsibilities
Greets and escorts visitors. Logs into the computer information about visitors entering and exiting the building. May operate telephone switchboards; relay incoming and outgoing telephone calls; receive, relay, and log messages; contact sources of aid in times of emergency; provide information to visitors and callers; and perform related work as required.
2. Detailed Statement of Duties and Responsibilities
- Greets and escorts visitors. Logs into the computer information about visitors entering and exiting the building.
- Operates a cord or cordless switchboard for a telephone communications system.
- Receives, screens, takes messages from, and refers incoming calls to the appropriate individual and/or agency by providing correct telephone numbers, area codes, dialing instructions, and other related information.
- Places phone calls for supervisors or agency staff; requests information relative to use of phone lines; and maintains logs on such telephone calls for comparison with monthly telephone bills.
- Receives emergency phone calls and dispatches emergency personnel to the scene.
- Greets and directs visitors to the appropriate individual and/or agency; answers questions; listens to complaints; and provides information and/or literature pertaining to agency rules, regulations, and/or operations.
- Provides information by telephone concerning employees, clients, students, and/or agency operations according to established guidelines.
- Performs related duties such as maintaining files and records; sorting mail; updating directories and other reference material; and maintaining schedules and time sheets.
- Operates radio transmitting and receiving equipment and maintains records and logs of messages.
3. Qualifications Required (Knowledge, Skills, Abilities)
- Ability to understand, explain, and apply laws, rules, policies, and procedures governing assigned unit activities.
- Ability to read, write, and comprehend the English language.
- Ability to operate cord and cordless switchboard equipment.
- Ability to speak clearly and distinctly.
- Ability to deal tactfully with others.
- Ability to obtain information through questioning individuals.
- Ability to make decisions and act quickly in emergency situations.
- Ability to work accurately with names, numbers, codes, and/or symbols.
- Ability to assemble items of information according to established procedures.
- Ability to maintain accurate records.
- Ability to follow oral and written instructions.
- Ability to establish and maintain harmonious working relationships with others.
- Ability to work independently.
- Ability to exercise discretion in handling confidential information.
4. Qualifications Acquired on the Job (Knowledge, Skills, Abilities)
- Knowledge of laws, rules, policies, and procedures governing assigned unit activities.
- Knowledge of standard procedures governing the use of telephone switchboard and/or other communication equipment.
- Knowledge of proper telephone procedures for making and receiving agency calls.
- Knowledge of the types and uses of agency forms.
- Knowledge of the principles and techniques of operating a radio console and/or radio telephone system.
- Knowledge of the methods and techniques of operating cord or cordless telephone switchboard equipment.
- Skill in using cord or cordless telephone switchboard equipment.
