SUMMARY:
The Director of Outpatient Admissions is responsible for 24/7 management of the Outpatient Admissions Department. Creates, implements, and analyzes essential functions of Outpatient Admissions Department to ensure that maximum census is attained in each program. The Director provides training and support for the day-to-day operations of the Outpatient Admissions Department to ensure appropriate and timely admission to substance use disorder and mental health treatment programs. This position will oversee workflow studies to evaluate effectiveness of existing processes and make recommendations to improve productivity. The Outpatient Admissions Director will develop and maintain constructive relationships with referral parties, managed care organizations, and the community at large to maximize admissions to Gosnold programs. The Director will have a working knowledge of inpatient admissions workflows, systems, and regulatory requirements. The Director will provide oversight and support to the Inpatient Admissions Department through participation in the rotating on-call schedule and on an as-needed basis to ensure continuity, consistency, and quality across all points of access.
ESSENTIAL JOB FUNCTIONS/DUTIES/RESPONSIBILITIES:
- Organize the work within the department to maximize resources and provide efficient and effective service.
- Oversee and, when necessary, conduct outpatient admission assessments to determine patient admission eligibility and facilitate treatment team reviews when applicable.
- Oversee the census in the outpatient programs to ensure maximum occupancies in accordance with contractual obligations and organizational goals.
- Establish and execute a review process to ensure that patient financial data and accounts receivable standards of quality are met to enable timely, accurate billing, and collection of funds.
- Maintain effective working relationships and interact regularly with Management, Clinical Services, Marketing, Quality Improvement and Patient Accounts to advance corporate goals of quality and service.
- Work cohesively and cooperatively with clinical staff to ensure a high-quality admissions experience for Gosnold patients.
- Ensure adherence to policies and procedures.
- Develop and update departmental policies and work rules as required/needed.
- Proficient understanding of payer systems, especially related to eligibility, authorizations, copayments, coinsurance, and deductibles.
- Rotate on-call coverage with designated staff.
- Collaborate with Human Resources and directors on recruitment, orientation, onboarding, performance management, credentialing, and professional development.
- Represent the organization in a positive and professional manner at events requiring administrative presence.
- Collaborate with Chief Financial Officer and directors on annual budgets.
- Must work occasional weekend hours in order to ensure Patient Access services operate in accordance with Gosnold’s standards of care.
- As the directing member of the Patient Access Team and a member of Gosnold’s Management Team, must be willing to flexibly meet needs of the department and organization.

MINIMUM KNOWLEDGE, Experience, AND SKILLS REQUIRED:
The requirements listed below are representative of the knowledge, skills, and/or abilities required to perform the job.
- Education: Bachelor’s degree in Nursing, Social Work, Human Services or related field required. Master’s degree preferred.
- Experience: A minimum of three (3) years of experience working in or coordinating with an admissions department in the substance use disorder and/or mental health field. A minimum of two (2) years of experience providing high-level administrative support in fast-paced behavioral health settings, working closely with organizational leadership and coordinating across multiple departments. Skilled in independently managing complex tasks, balancing competing priorities, and applying knowledge of psychiatric hospital level-of-care criteria, patient acuity, and Medical/SUD/Behavioral Health needs
- Skills: Proficient with electronic health records, other electronic management systems, data/analytic systems, payer systems, etc. Proficiency in Microsoft office products, exceptional interpersonal, written and communication skills, and customer service experience.
Certificates, Licenses, and Registrations: RN, LICSW or LMHC preferred but not required.
