Job Description:
- Answer phones in a consistently pleasant and appropriate manner and accurately assess level of need to interrupt staff with messages, refers clients to clinicians when possible.
- Maintain medical records to ensure that records are accurate and up to date according to policies and procedures.
- Composes and accurately types letters, designs forms, reports, correspondence, envelopes, labels, etc.
- Stamps, sorts, and distributes mail, as needed.
- Receives and distributes incoming mail, memoranda, packages etc., according to appropriate individuals within the assigned unit.
- Operates standard office machines and equipment such as photocopiers, calculators, and fax machine.
- Handles operation and routine maintenance to copier and assists in notifying need for repair.
- Assists with data entry in spreadsheets for use with tracking and reporting data..
- Responsible for maintenance of photocopier and fax machines and contacting repair if needed.
- Greets visitors to the Center, having guests sign-in and provide them with Visitor Badges
- Records and types minutes for various center-wide committees and staff meetings in a timely manner.
- Notifies appropriate parties, orally and in writing, of information, such as meetings, conferences, etc.
- Maintains adequate supplies as needed for the office including ordering, inventorying, and maintains all in an orderly fashion.
- Receives orders supplies, verify packing slips and restock stock room..
- Receives all supply items and ensures receipts/packing slips are sent to BB in a timely manner.
- Provide clerical support to administrative department heads to include typing, preparation of reports and presentations, and filing of materials as needed.
- Provides backup clerical support to all department/programs at the Cape Cod and Islands Community Mental Health Center and the Hyannis Site Office.
- Provides backup support for clerical supervisor and assist with administrative duties as needed.
- Other duties as assigned by Director of Clinical Services, Center Director, or Office Support Specialist I and II.
- Communicates with individuals/clients, on as needed basis, appropriate to age, cultural or spiritual needs by referring or directing individuals to proper personnel/agency.
- Is sensitive to te cultural/spiritual and diverse needs of consumers and staff.
