Reports To: Executive Director
Schedule: Monday–Friday, Full-Time, In-Person
Classification: Year-Round, Non-Exempt Employee

Overview

Pine Haven Boys Center is a private, non-profit, non-sectarian residential and educational facility serving boys ages 6–14 who have experienced trauma, neglect, and behavioral or emotional challenges. Set on 100+ acres in Allenstown, NH just 10 minutes south of Concord and 15 minutes north of Manchester our intensive therapeutic and academic programs help students grow academically, emotionally, and socially.

Pine Haven Boys Center is seeking a dependable, detail-oriented, and highly organized Residential Administrative Support Specialist to provide critical support to daily campus operations. This full-time, in-person position is the central hub for front desk communications, mail management, onboarding assistance, and administrative support for residential leadership. The ideal candidate will be professional, efficient, and mission-driven, ensuring smooth operations that help our team provide the best possible care to the youth we serve.

Key Responsibilities

Front Desk & Communications

  • Greet and screen all visitors and staff at the front entrance in accordance with safety protocols
  • Answer and direct incoming phone calls in a courteous and professional manner
  • Monitor and respond to front desk emails and inquiries promptly
  • Post announcements and updates through internal TV displays and the NectarHR platform

Onboarding & HR Coordination

  • Initiate and track background check processes for new hires, and current staff with expired background checks.
  • Prepare and distribute job offer letters and new hire documentation
  • Set up email accounts and internal access for new employees
  • Maintain onboarding checklists and communicate status updates to the Business Operations department

Mail & Document Management

  • Collect, sort, and distribute incoming mail daily
  • Prepare and send outgoing mail and packages
  • File, scan, and store confidential documents securely, following organizational policies

Administrative Support

  • Provide clerical and scheduling support to residential leadership and program staff
  • Assist with general administrative tasks including data entry, filing, and supply orders
  • Help plan and coordinate internal events, staff communications, and training sessions as needed
  • Support other administrative needs to ensure smooth daily operations

Qualifications

  • High school diploma or GED required; associate’s degree preferred
  • 1–2 years of administrative or front desk experience; human services or educational setting preferred
  • Proficiency with Microsoft Office Suite and basic computer applications
  • Familiarity with HR software platforms such as NectarHR is a plus
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Commitment to the mission of supporting and serving our youth

Compensation

Starting wage commensurate with experience and qualifications, with adjustments based on performance and tenure.

Work Environment

This role is based on-site at our residential treatment campus and involves daily interaction with internal staff, visitors, and youth care teams. The position is office-based but requires flexibility to move between buildings as needed. Time management, professionalism, and attention to detail are essential.
