The Administrative Assistant performs all general receptionist duties including answering the telephone, taking referrals, typing correspondence, copying, printing, and faxing. Serves as back-up to Billing Specialist. Serves as a back up to DPH EICS Coordinator. Serves as back up to Transportation Coordinator. Serves as a back up to Referral Coordinator.
The Insurance Coordinator in Early Intervention obtains, collects, maintains, and follows-up with all aspects of the insurance billing system.
Specific Job Duties and Responsibilities:
- Maintains a collaborative relationship with other office team members and other Thom offices.
- Performs all general receptionist duties including answering the telephone, taking referrals, typing correspondence, copying, printing, and faxing.
- Demonstrate knowledge of all aspects of the TBR, TC, and EICS.
- Demonstrates knowledge of Early Intervention billing instructions and requirements.
- Maintains profiles/accounts with each insurance company for the purpose of insurance verification.
- Maintains a system of insurance information and insurance records for all children.
- Establishes and maintains a professional relationship with insurance company personnel for the purpose of obtaining authorizations and resolving billing issues.
- Communicates with providers and other Early Intervention staff to inform staff of insurance company requirements to maintain billing.
- Coordinates efforts with the insurance billing staff at Framingham office.
- Runs insurance eligibility and saves insurance verification into TC for all new referrals and all children enrolled in Early Intervention. Reviews client information and updates information in TC and TBR as necessary.
- Inputs insurance information for all new referrals into TBR on a regular basis.
- Completes monthly insurance verification for all children enrolled in Early Intervention by verifying children’s commercial insurance remains valid on a regular basis and updating insurance changes into TBR in a timely manner.
- Assists with creating insurance documentation for all incoming referrals.
- Works on insurance changes by performing insurance eligibility checks, saving insurance information into TC and adding new insurance information into TC and TBR.
- Runs MassHealth 270/271 reports on a weekly basis. Reviews for insurance changes and runs insurance eligibility. Coordinates with service providers to complete new insurance form.
- Verifies Medicaid identification numbers remain eligible on a weekly basis.
- Coordinates with each child’s pediatrician to request Mass Health referral. Saves Mass Health referral information to TC and enters information into TBR.
- Serves as back-up to Billing Specialist.
- Serves as back-up to Administrative Assistant/EICS Coordinator
- Serves as back-up to Administrative Assistant/Transportation Coordinator.
- Other duties as assigned.
Qualifications:
- A minimal educational requirement of a high school diploma or equivalent and be at least 18 years old.
- A minimum of three years administrative experience with strong interpersonal skills, general knowledge of insurance billing, computer literacy, strong organizational skills and the ability to work independently.
- Ability and interest in working with a team of professionals.
- Knowledge of 3rd party, Medicaid and DPH Early Intervention billing regulations.
- Maintain appropriate professional boundaries; promote client confidentiality; and exhibit flexibility, sensitivity to cultural differences, and teamwork.
- Experience with Microsoft Word and Excel.
- Excellent verbal and written communication skills.
- Ability to problem solve, make recommendations, and implement solutions.
