Job DescriptionWe are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership within the financial services industry. This is a long-term contract position based in Boston, Massachusetts, ideal for someone who excels in managing schedules, coordinating meetings, and ensuring efficient communication across teams. Responsibilities:
• Manage executive calendars, including scheduling meetings, appointments, and conference calls.
• Coordinate and facilitate virtual meetings using Cisco Webex, ensuring seamless execution.
• Handle travel arrangements and expense reporting through systems like Concur.
• Maintain accurate records and oversee timekeeping processes using Kronos.
• Draft, review, and respond to correspondence on behalf of executives.
• Act as a liaison between senior leadership and other departments, ensuring timely communication.
• Support CRM data management and assist in tracking key operational metrics.
• Organize and prepare materials for presentations and meetings.
• Monitor deadlines and prioritize tasks to ensure smooth workflow.
• Provide administrative support for special projects as needed.• Proven experience as an Executive Assistant, preferably within the financial services industry.
• Proficiency in tools such as Cisco Webex Meetings, Concur, and Kronos Timekeeping System.
• Strong skills in calendar management and scheduling.
• Excellent communication abilities, both written and verbal.
• Familiarity with CRM systems and data management.
• Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• High level of discretion and professionalism when handling sensitive information.
• Strong organizational skills and attention to detail.
