Full-time, 30-35 hours per week - Monday - Friday $750.00 Sign-on bonus

SUMMARY

Quality Compliance and Training Admin is currently a 30-35 hour per week, office position, (Please see the current work schedule attached). The primary focus of this position is to provide administrative support to the Quality, Compliance & Training department, assist and communicate with MDS employees, providers and families via phone, email and across multiple end-user platforms to support QCT projects, oversight, training, and regulatory compliance efforts.

ESSENTIAL FUNCTIONS

Quality & Compliance - General Office and Administrative tasks

Daily communications and support to MDS staff, providers and families, data entry, preparation of materials, use of office equipment, greeting, contact and interaction with individuals, staff & providers as necessary to complete department tasks and projects.

· Office support, reception and communications during MDS office hours as needed.

· Respond to inquiries, and requests, relay & share information with Quality team members and MDS administration.

· Incident reporting review, data entry and monthly data report.

· Assist with data entry, collection, and comparison, etc.

· Effective communications with MDS staff, administration, providers and families, as required to complete QCT tasks and projects, to include in person, email & telephone contact on a regular basis.

· Work with QA Assistant and Coordinator, to become familiar with and assist with systems & tools used by Quality Assurance & Training Department and MDS teams.

· Area Agency Supports Intensity Scale (SIS) and corresponding tasks.

· Processing of Universal Change Form submissions and updating information across platforms.

· Maintain data collection sources, using excel, access, and other data systems, to ensure accuracy & improve reporting ability.

· Filing and records management, including, but not limited to, print, electronic and Docstar record systems.

· Maintain inventory of frequently used Advocacy, Quality Information and Training materials.

· Assist as needed to support MDS Audits and record review processing.

· Communications via telephone, email contacts and mailing to support NCI surveys and interviews as well as other initiatives.

· Provide administrative assistance and staff support to other MDS staff, teams and departments as requested by the QCT Coordinator or MDS Administration.

· Other administrative tasks as necessary.

Systems:

HRST -

· Data entry of demographics, person and provider updates

· Report generation and dissemination as assigned.

· Support for HRST users


Training & Relias Training System

· Monitor and update calendars, registrations and Relias module enrollments.

· Assist in scheduling event logistics, rooms, equipment scheduling and training calendars, etc...

· Assist in communications with instructors and participants, i.e. communicate/post changes in offerings.

· Preparation of instructor/class material and packets for training sessions

· Assist to develop/prepare session materials & resources, as requested.

· Assist with module & training session processing and notifications.

· Data entry, updates reporting functions as requested.


Self-Advocacy -

· Assist the group with flyers, information and communications needed.

· Attend/assist monthly SA meetings taking place in the Keene MDS office location.

· Assist as needed with equipment, ZOOM & Facilitation Support for self-advocacy meetings and events.


POSITION REQUIREMENTS/EXPERIENCE

· Minimum High School Diploma or equivalent. An ideal candidate will have one to two years' office experience.

· Proficient computer skills and ability to work across various platforms. Proficient in Microsoft Office suite as well as Google business products, to include, but not limited to, Gmail, Google sheets/forms, Word, Excel, PowerPoint. The ability to learn and demonstrate competency working in applications and systems such as, ZOOM, Teams, HRST & Relias for assigned tasks.

· Need for a high degree of confidentiality and professionalism.

· MDS QCT office hours - as scheduled by supervisor. (Schedule attached)

· Attention to detail and the ability to work independently and efficiently to complete QCT dept tasks.

· Required attendance at bi-weekly supervision/connection with the Quality Team

· Attend all-staff meetings as scheduled by MDS Administration.


WORKING CONDITIONS

· Staff are accountable for all hours assigned, are punctual, abide by all MDS policies and attendance guidelines, and complete required training activities and events.

· The position requires the employee to be in the MDS Keene office, Monday through Friday, during MDS office hours.

· Staff must be able to assist with moving equipment and setting up the room, furnishings and equipment as necessary. Must be able to lift a minimum of 30 pounds.

· Candidate must pass the following background checks; criminal record, motor vehicles record, Bureau of Adult and Aging Services (BAAS), Division of Child, Youth and Families (DCYF), Office of Inspector General (OIG), 1 Step Tuberculosis (TB) Test.
